How to Compress a PDF for WhatsApp (Free)

A 40 MB scanned contract takes ages to send over mobile data, eats the recipient’s data allowance, and often sits undownloaded because their phone does not auto-download documents. Here is how to compress a PDF for WhatsApp in under a minute, in your browser, with no upload and no app.

How do I compress a PDF for WhatsApp?

What is WhatsApp’s file-size limit for PDFs?

Since 2022 the WhatsApp app has allowed files of up to 2 GB to be shared, so in current versions a PDF rarely fails on size alone. The 16 MB figure still quoted online is an older media limit, and WhatsApp Business API accounts have lower caps (100 MB for documents), so check your app’s own message if a send fails. The reasons to compress are practical: speed over mobile data, the recipient’s storage and data allowance, and whatever happens to the file next — a 25 MB email attachment limit, or an upload portal that accepts 5 MB.

How the compression works

• First, a lossless pass tidies the file’s internal structure. If that alone reaches your target, text, links and quality are untouched.
• If it does not, the pages are rebuilt as images at gradually lower quality until the file fits.
• Rebuilt pages keep an invisible text layer, so words can still be searched, but links and form fields do not survive.
• If the target cannot be reached, the tool says so and gives you the smallest size it managed.

Sending it as a document, not a photo

On Android, tap the paperclip → Document and choose the file from Downloads. On iPhone, tap + → Document, then pick the file from Files, or share it from the Files app straight into the chat. Sent as a document, WhatsApp delivers the PDF unchanged, and the recipient can download, open and forward it without any loss.

What goes wrong

• “Could not reach target size”: the content cannot go that small and stay a PDF. Accept the smallest size offered, or split the document into two messages.
• The PDF will not open in the compressor: it is password-protected. Remove the password first, compress, and protect it again if needed.
• Small print is blurry after compressing: the target was too aggressive. Compress the original again with a larger target — never compress the compressed copy.
• The recipient sees a grey box instead of the file: they have not downloaded it yet. Documents on mobile data often wait for a tap.
